OpenText Exstream review: built for volume, heavier to run
OpenText Exstream is the pick for very high print and batch volumes, especially if you already run OpenText. It holds 4.4 from 76 ratings on Gartner Peer Insights (October 2026). The catch: reviewers say upgrades, the move to cloud and the license all cost real effort or money.
Printing millions of documents? Then this OpenText Exstream review is for you. Exstream, now listed on review sites as OpenText Communications (Exstream), is the platform reviewers most link with fast, reliable high-volume batch output.
The trade-off shows up in the same reviews: upgrades take time, moving to the cloud version is a project, and the license isn’t cheap. Here’s what users say, how you can run it, and how it fits in the CCM software market.
The verdict at a glance
Exstream is built for scale and rewards teams that already run OpenText. It’s harder to justify for a mid-sized team starting fresh.
OpenText Exstream
Best for very high print and batch volumes, especially in OpenText shops
- 4.4 ★76 Gartner ratings
- 17%three-star ratings on Gartner
- 9/107 TrustRadius reviews
- 4.6 ★9 G2 reviews
Users rarely rate Exstream badly. They’re happy with what it produces and less happy with what it takes to run. You can use it as a managed cloud service or host it yourself in containers.
Watch out: reviewers say upgrades and the move to cloud take real effort, and the license is expensive.

What users say about Exstream
Gartner Peer Insights is the only site with a big sample. The other sites hold 18 reviews between them. So look at the shape of the ratings, not just the average.
Share of Gartner Peer Insights ratings at each star level, CCM products with 69+ ratings, October 2026.
From each product page. The CCM market list shows 92 ratings for Papyrus and 4.4 for Messagepoint. Source: Gartner Peer Insights product pages.
Only 1% of ratings are two-star and none are one-star. But just 29% give five stars, against 56% to 68% for Papyrus, SmartCOMM and Quadient.
The written reviews explain why.
| What users like | What users don’t |
|---|---|
| Handles high volumes “smoothly and error free”; one team runs a single global instance for about 20,000 users a day | On-premises upgrades are time-consuming and slow down migration work |
| Fast batch processing, plus API-based document retrieval and reprinting | Moving to cloud is complex and pulls in professional services and your security team |
| Easy to integrate with internal systems, with a helpful user community | License cost is “too high”, and licensing gets confusing with many users |
| Helpful sales and support staff | Slow with many forms in one application, and weak on documents in local languages |
How you can run it
You get more hosting choice than with vendor-hosted SaaS. Since OpenText’s 2020 Cloud Editions launch, Exstream can run in containers in your own data center, a hybrid setup or a public cloud, or as a managed service from OpenText.
Running an older on-premises version? One insurer’s reviewer calls the move to cloud complex but expects it to cut upgrade times. Budget it as its own project. Our cloud CCM guide explains how the options differ in a security review.
Before you sign, pin down three things:
- Which deployment the proposal prices, and who runs upgrades.
- What throughput OpenText has shown on data like yours. Public figures come only from OpenText.
- Which connectors to your core systems are included. Insurers can see what to ask in CCM software for insurance.
AI and analyst standing
OpenText announced its Aviator generative AI products in August 2023. Futurum Group says Experience Aviator runs within Exstream and uses large language models to personalize content. Ask for a demo in the version you’d deploy, and whether AI is licensed separately.
Omdia’s 2024 CCM report names OpenText a Leader, and OpenText announced Leader placements in four 2024 IDC MarketScape reports. See CCM analyst reports and the CCM benchmark for every vendor’s placements.
Buyer interest is steady. PeerSpot ranks it third in CCM, with 19.5% of reader attention in October 2026.
Is OpenText Exstream right for you?
It comes down to your volumes and how much running effort you can absorb.
Exstream is a strong fit if
- You produce huge batch volumes and reliability at scale matters more than easy authoring.
- You want to self-host in containers, or have OpenText run it for you.
- You already use OpenText content or archiving products and want fewer vendors.
- You run xPression or StreamServe today. Ask OpenText what its conversion path covers.
Look elsewhere if
- You want minimal upgrade work on your side.
- License cost is your main constraint.
- Business users must own most template changes. Compare the Quadient Inspire review and the Messagepoint review.
OpenText Exstream vs SmartCOMM
Leaving SmartCOMM because of volume or hosting? Exstream is the one to test. A SmartCOMM reviewer on TrustRadius called Exstream better suited to very high-volume printing, and GetApp lists SmartCOMM as cloud or SaaS only.
SmartCOMM averages higher on Gartner (4.7 from 69 against 4.4 from 76). On PeerSpot, though, SmartCOMM’s share of reader attention fell from 10.2% to 4.7% in a year while Exstream’s rose.
