SmartCOMM contract renewal: a plan that starts from your notice date

Short answer

For a SmartCOMM contract renewal, plan back from the notice date in your order form, not the renewal date, and give yourself about a year. Measure your real usage, get at least one competing quote on the same volumes, and get exit terms in writing before you sign again.

Facing a SmartCOMM contract renewal? Plan back from the notice date in your order form, not the renewal date. Give yourself about a year.

Renewal is your one chance to change price, scope and exit terms without migrating. Smart Communications publishes no price list, so your bargaining power comes from two things: your own usage data and competing quotes. Already leaning toward leaving? Read this next to our plan to migrate from SmartCOMM.

Start from your notice date

Most enterprise contracts renew automatically unless you give notice by a set date. Miss it and you’re stuck with whatever’s on the table. A proper evaluation with a proof of concept takes months, so start a year out.

A one-year renewal plan, counted back from your notice date

Enter your notice date to see when each step starts. Shorten it for a small estate, stretch it for several lines of business.

Enter the date by which you must give notice of non-renewal. It is in your order form, usually 60 to 180 days before the renewal date.

  1. Read the contract, pull usage 12 months before the notice date Find the notice clause, auto-renewal terms and increase caps. Export consumption by licensed unit for the current term.
  2. Shortlist and send the RFP 10 months before the notice date Pick two or three alternatives and send each the same requirements and volumes.
  3. Proof of concept 7 months before the notice date Each finalist converts three of your most complex live templates. Record what was automated.
  4. Price the move and decide 4 months before the notice date Compare full cost: license, migration, parallel running and exit. Get internal approval for a direction.
  5. Negotiate 2 months before the notice date Negotiate per-unit prices, caps, term length and exit terms with competing quotes in hand.
  6. Notice date On the notice date Give notice, sign a short extension sized to a migration, or sign the renewed terms.

Planning model, not a vendor requirement. Your notice period and auto-renewal terms are set by your own order form.

Already past some milestones? Ask Smart Communications early for a short extension at current unit prices, and run a narrower evaluation on your highest-volume templates.

Measure what you actually used

Your usage data is your strongest card. Compare what you bought with what you used, unit by unit.

CheckLook for
Output volume by channelA tier that’s too high, or where growth is
Authoring seatsUsers who haven’t edited a template in two quarters
Environments and connectorsOnes with no recent traffic
SmartIQ, SmartPATH or SmartHUBBundled products you barely use
Support ticketsWhether your support tier matches real need
Active vs dormant templatesHow big a migration really is

Templates aren’t a licence unit, but they matter. If much of your library is dormant, a move is smaller than it looks, and your alternative becomes more believable.

What to benchmark against

Public price data is thin. Capterra lists SmartCOMM from $35,000 a year for a Basic tier (August 2026), which is an entry price, not an enterprise benchmark.

Competitors don’t publish prices either. Quadient says Inspire is priced mainly on volume and users, as listed on G2, and Oracle lists subscription, per-document and per-processor options on Celent. So the benchmark that counts is a competing quote on your own volumes, users and environments. See SmartCOMM pricing for the cost lines and CCM software pricing for the wider picture.

Terms to get in writing

TrustRadius reviewers call SmartCOMM’s licensing complicated, so pin these down:

  • Per-unit prices for volume, seats, environments and each product, not just a total.
  • An annual increase cap for every year of the term and the next renewal.
  • Term length: a short extension if you’re migrating; a longer term only in exchange for caps and exit terms.
  • True-up rules for overage and unused volume.
  • Bundles priced line by line, if SmartPATH, SmartHUB or SmartIQ appear in the quote.
  • AI features: Smart Communications said in February 2026 that over 80% of customers could access its new AI assistants. Confirm which are in your contract and whether any will start costing extra.

Make the competitive evaluation real

A credible alternative is your strongest bargaining chip, but only if the evaluation is genuine: your requirements, your templates and quotes on the same volumes.

  1. Shortlist two or three vendors from our SmartCOMM alternatives and the CCM benchmark.
  2. Send the same requirements with the CCM RFP template.
  3. Score consistently with the CCM vendor scorecard.
  4. Price the migration too. A cheaper licence can cost more once conversion and parallel running are in.

Smart Communications will compete on its record: 4.7 from 69 Gartner Peer Insights ratings (October 2026), and a 9.8 support score from 10 G2 reviewers.

What the new owner means for you

Cinven agreed in August 2025 to buy a majority stake in Smart Communications, at a valuation Bloomberg put at about $1.8 billion. Since then the company has named a new CFO and a new Chief Commercial and Revenue Officer, and expanded its AI migration tooling.

New commercial leaders mean a fresh look at what you’re offered. Pricing, packaging and terms all get negotiated again at renewal. Ask for written commitments on price protection, roadmap dates for your products, and support continuity. The background is in our Smart Communications Cinven acquisition explainer.

Lock in exit terms before you sign

Exit terms cost the vendor little at renewal and are much harder to win later. Tick what your contract already gives you; the rest becomes your ask list.

Which exit protections does your SmartCOMM contract have?

Tick each term your contract already states in writing. The rest become requests you can paste into your negotiation notes.

  • Template exportSpeeds rebuilding on another platform.Ask: Confirm in writing which template resources, shared components and styles we can export, in what format, and at what cost.
  • Rules and data schemasLogic inside templates is the easiest thing to lose.Ask: Confirm we can export the business rules that select content and the schemas of every data feed.
  • Archive exportRetention obligations outlast the contract.Ask: Confirm how documents archived in SmartHUB or elsewhere are exported with retention metadata, in what format and at what cost.
  • Approval historyCompliance may need proof of past approvals.Ask: Confirm we can export audit trails of approvals and changes to regulated content.
  • Transition periodParallel running needs both systems live.Ask: Grant read access and limited production use for a defined period after termination at current unit prices.
  • Short extension rightCovers a migration that runs late.Ask: Grant the right to extend for a short term, such as 3 to 6 months, at current unit prices.
  • Transition servicesExtraction help is cheaper agreed in advance.Ask: State the day rate for data extraction and transition assistance during a migration.
  • Data deletionCloses the data protection loop.Ask: Confirm deletion of our data in writing at the end of the transition period.

Exit terms drawn from the data a regulated CCM migration needs to carry over. See the migration guide for how each is used.

Frequently asked questions

When should I start preparing for a SmartCOMM renewal?

About 12 months before the notice date. An RFP, a proof of concept and a migration estimate all have to finish before then. Check your order form for auto-renewal and the notice period.

Can I negotiate a SmartCOMM renewal price down?

You're strongest with measured usage and a competing quote on the same volumes. Drop capacity you don't use, ask for per-unit prices, and ask for a yearly increase cap.

Should I renew for one year or several?

If you're migrating, a short extension sized to the plan avoids paying for capacity you won't use. Only accept a longer term in exchange for firm caps and written exit terms.

Does the Cinven ownership change affect my contract?

Not your current contract; your order form still governs price and term. It matters at renewal, so ask for written commitments on price protection, product roadmaps and support.
