Wealth management client communications software: rules, tools and vendor fit
Wealth management client communications software is the CCM layer that turns account and portfolio data into statements, Form CRS, Reg BI disclosures and marketing pieces with locked wording, principal approval and a retained copy. Portfolio reporting tools like Addepar, Orion or Black Diamond calculate the numbers; CCM composes and controls the regulated documents. Quadient Inspire, chosen as Avaloq’s standard CCM, and Doxim, chosen by TradeStation for statements and confirms, have the clearest independent wealth evidence.
Looking for wealth management client communications software? First make sure you’re buying the right kind of tool. Your portfolio platform calculates the numbers. A customer communications management (CCM) platform turns them into statements, disclosures and marketing that a principal signed off and an examiner can pull years later.
This guide covers what SEC and FINRA rules ask of those documents, where portfolio reporting ends and CCM begins, and which platforms have real wealth and asset management evidence. It isn’t legal advice. For the full vendor list, see our CCM software guide.

Where portfolio reporting ends and CCM begins
Most wealth tech searches mix up three tool types. Celent splits client reporting into three layers: pulling and aggregating data, calculating performance, and rendering and distributing the result. Portfolio platforms own the first two. CCM owns the regulated document around the numbers.
Main job, partial coverage or not the tool's job. Use it to check you aren't asking one tool to do another's work.
| Tool type | Custodian data aggregation | Performance calculation | Composition with locked wording | Principal approval record | Print, email and portal delivery | Archive of the sent copy |
|---|---|---|---|---|---|---|
| Portfolio accounting and reportinge.g. Addepar, Orion, Black Diamond | Main job | Main job | Partly, varies by product Client reports, not regulated letters | Not its job | Partly, varies by product Client portal | Partly, varies by product |
| Client reporting toolse.g. SimCorp Coric | Partly, varies by product | Partly, varies by product | Main job Factsheets, client and fund reports | Partly, varies by product | Partly, varies by product | Partly, varies by product |
| CCM platforme.g. Quadient Inspire, Doxim | Not its job Takes data feeds | Not its job | Main job Statements, notices, disclosures | Main job | Main job | Partly, varies by product Separate archive product at some vendors |
| Outsourced communicationse.g. Broadridge | Partly, varies by product Takes your feeds | Not its job | Main job | Partly, varies by product | Main job | Partly, varies by product |
Our model of typical scope, built on Celent's three-layer view of client reporting (data, performance, rendering and distribution). Products vary, so confirm each job in your RFP. October 2026.
The handoff is where things go wrong. If your portfolio tool composes the quarterly statement too, ask how it locks regulatory wording and records approvals. If your CCM platform gets performance figures, they should arrive as data from the books, never retyped.
Five rules shape most wealth documents
Broker-dealers and advisers answer to different rulebooks, and many firms answer to both. These five do most of the work on templates.
FINRA Rule 2231: quarterly account statements
Broker-dealers send statements at least once every calendar quarter to any customer with a position, balance or activity. Each one tells the customer to report discrepancies promptly. The front of the statement names the introducing firm, states that the carrying firm is a SIPC member and shows opening and closing balances.
So your platform has to control placement, not just content.
Form CRS: short, plain English and event-driven
The relationship summary can’t exceed two pages on paper, or four for a dual registrant’s combined version. Advisers deliver it at or before signing the advisory contract. Broker-dealers deliver it at the earliest of a recommendation, an order or an account opening.
After a material change, you update it within 30 days and tell existing clients within 60. Changes must be easy to spot. That’s a delivery trigger and a versioning job, not a one-off PDF.
Regulation Best Interest: disclosure before the recommendation
Reg BI requires full and fair written disclosure of fees, costs, the scope of services and material conflicts of interest. It has to reach the customer prior to or at the time of the recommendation, so your platform needs to know when a recommendation happens.
The SEC Marketing Rule: performance with rules attached
Show gross performance in an adviser advertisement and you must show net performance with equal prominence. Outside private funds, you also show one, five and ten-year periods ending no earlier than the most recent calendar year-end. Testimonials need disclosures about client status and compensation.
FINRA Rule 2210: a principal signs off first
A registered principal approves each retail communication before the earlier of its use or filing. Retail communications that promote a specific registered fund or fund family get filed with FINRA within 10 business days of first use. You keep the approver’s name and the approval date with the piece.
See which capabilities matter most to you
Tick the documents you produce. The list underneath ranks capabilities by how many of your documents depend on them, so you know what to prove first.
A dot means the document relies on that capability. Firm type and product mix add more, so check with compliance.

Locked wording and an archive show up on every row. If a vendor can’t demo both on your own statement data, the rest matters less.
Keep what you send for years
Your archive is a regulated record, not a convenience. Both rulebooks set minimums, and electronic records need either a full time-stamped audit trail or storage in a non-rewriteable, non-erasable format.
| Who | What | Keep it for | Rule |
|---|---|---|---|
| Broker-dealer | Communications sent and received relating to the business | 3 years, first 2 easily accessible | 17 CFR 240.17a-4(b)(4) |
| Broker-dealer | Retail and institutional communications, with approving principal and date | Same as above | FINRA Rule 2210(b)(4) |
| Investment adviser | Advertisements, and communications to 10 or more people | 5 years from the end of the fiscal year last disseminated, first 2 in an office | 17 CFR 275.204-2(a)(11) and (e)(3) |
Ask every vendor how its archive meets 17a-4’s electronic rules, and how you’d export it if you ever leave. Our CCM security and compliance guide covers the wider checklist.
SmartCOMM alternatives for wealth and asset managers
Few CCM vendors have independent, wealth-specific proof. These picks lead with the ones that do. Ratings aren’t wealth-specific; every number is in our CCM benchmark.
Best for private banks and wealth managers, especially on Avaloq
- 4.8 ★130 Gartner reviews
- Dec 2024became Avaloq’s standard CCM
Avaloq, a core banking and wealth management platform, made Inspire its standard CCM and built it into its platform. Trade press reported three financial institutions were already adopting the joint setup. Run it as SaaS, on-premises or hybrid.
Doxim
Best for broker-dealers and wealth firms where statements and confirms are the core job
- Major PlayerIDC MarketScape 2026
- 6WealthTech100 listings, per Doxim
TradeStation, a self-clearing online broker, chose Doxim in 2023 to create, deliver, track and archive client account statements, with one view of statements and confirmations across all asset classes. Back in 2014, Broadridge and Doxim built statements for Canada’s CRM2 rules, which reworked what wealth statements show.
Watch out: few public reviews, so ask for references at firms your size.
Strong CCM leaders without public wealth proof
OpenText Exstream, Messagepoint and Precisely EngageOne are proven CCM platforms, but their public wealth and asset management references are thin. They’re worth a look if their strengths match your problem. Just ask for wealth references.
| Platform | Gartner rating | Why it might fit | Ask the vendor |
|---|---|---|---|
| Messagepoint | 4.4 from 69 reviews | IDC’s 2026 MarketScape, as Messagepoint announced, credits its business-user authoring. Suits marketing compliance teams that own a big disclosure library | Two wealth or asset management references |
| OpenText Exstream | 4.4 from 76 reviews | A Leader in IDC’s 2024 CCM MarketScape, as OpenText announced. OpenText describes its composition engine as high-performance, which matters for quarter-end statement runs | A broker-dealer reference on your statement volumes |
| Precisely EngageOne | 4.1 from 12 reviews | Precisely says its Compose and Vault archive can run in your own AWS account | Whether wealth management is a live customer segment, with names |
Gartner Peer Insights ratings, October 2026.
Prefer to outsource the whole job?
Broadridge offers this route to broker-dealers. It announced in 2022 that Cetera Financial Group was first to launch Wealth InFocus, which combines statements, trade confirmations, proxies and prospectuses into one investor view, delivered by email, text, microsite or print. It’s a different buying decision from licensing CCM, so compare total cost and how much template control you give up.
Running SmartCOMM today? Start with renewal and exit terms
Smart Communications markets to wealth management firms, investment firms and private banks, and it announced a Client Reporting product in 2022. If you’re on SmartCOMM, your contract dates decide how much room you have.
- Find the notice date in your order form and work back about a year. Our SmartCOMM contract renewal plan has the timeline.
- Get archive export terms in writing. Statements and disclosures you’ve sent stay regulated records for three to five years after you leave. Ask for a full export with metadata, in a format your next archive can hold under 17a-4.
- Get template and content export terms. Know what comes out, and in which format, before you need it.
- Ask for a short extension sized to a migration, with per-unit prices and an increase cap, instead of a long renewal.
- Price a competitor on the same volumes. Start with SmartCOMM alternatives, then plan the move with our guide to migrating off SmartCOMM.
What to put in your RFP
These lines follow from the rules above. Copy them from our CCM RFP template.
- Statement front-page control for firm names, SIPC wording and opening and closing balances.
- Form CRS versioning with page-limit checks, change highlighting and delivery triggers.
- Reg BI disclosures triggered by the recommendation event, with proof of timing.
- Performance figures as data from your portfolio platform, with one, five and ten-year periods and net beside gross.
- Principal approval workflow that stores the approver and date with each piece.
- Quarter-end batch plus on-demand documents from the same templates.
- An archive with an audit trail or WORM storage, searchable by account and date.
- Full archive and template export, priced in the contract.
How to test the shortlist
Use your own data and the documents examiners actually ask for.
- Render a quarterly statement for a customer with an introducing and a carrying firm, and check the front page.
- Change one line of Form CRS and show the highlighted version, the delivery list and the record.
- Route a factsheet with performance through principal approval and pull the record back.
- Run a quarter-end batch at peak volume and time it.
- Score each vendor with our CCM vendor scorecard.

Frequently asked questions
Is portfolio reporting software the same as CCM for wealth managers?
No. Portfolio reporting platforms aggregate custodian data and calculate performance. CCM takes that data and composes the regulated documents around it, with locked wording, approvals, multichannel delivery and an archive of what was sent.
How often must a broker-dealer send customer account statements?
At least once every calendar quarter to each customer whose account had a position, money balance or activity since the last statement, under FINRA Rule 2231. Electronic delivery is allowed.
How long can a Form CRS be?
Two pages in paper format, or the electronic equivalent, for a broker-dealer or an adviser. A dual registrant that combines brokerage and advisory services in one summary gets up to four pages.
When must a Reg BI disclosure reach the customer?
In writing, prior to or at the time of the recommendation (17 CFR 240.15l-1). It covers the scope and terms of the relationship, including material fees and costs, and material conflicts of interest.
How long do we have to keep client communications?
Broker-dealers keep communications relating to the business for at least three years, the first two in an easily accessible place. Advisers keep advertisements for five years from the end of the fiscal year they were last disseminated.
Which CCM platforms have wealth management evidence?
Avaloq made Quadient Inspire its standard CCM platform in December 2024, and TradeStation chose Doxim for statements and trade confirmations in 2023. For other vendors, ask for references at wealth or asset managers your size.
