How to migrate from SmartCOMM without breaking regulated output

Short answer

To migrate from SmartCOMM, first get your templates, rules, data schemas and archive exported while your contract is live. Then clean up your templates, rebuild them on the new platform, run both side by side and cut over one line at a time. Start well before your renewal notice date.

Ready to migrate from SmartCOMM? Do one thing before anything else: get your templates, rules, data schemas and archived documents exported while your contract is still live.

SmartCOMM is vendor-hosted, so you don’t control the servers. What you can take with you depends on your contract and what the platform exports. Most of what’s published covers moving onto SmartCOMM. This guide covers leaving it. For the general method, see our CCM migration guide.

Why teams replace SmartCOMM

Most moves start with one need SmartCOMM can’t meet, often spotted at renewal.

  • You must host it yourself. GetApp lists SmartCOMM as cloud or SaaS only.
  • Your print volumes are huge. A TrustRadius reviewer said OpenText Exstream suits very high-volume printing better.
  • Licensing and upgrades wear you down. Reviewers mention price, complicated licensing and frequent upgrades.
  • Buyers are drifting. SmartCOMM’s share of PeerSpot reader attention fell from 10.2% to 4.7% in the year to October 2026.

Secure these exports first

Your access ends with the contract. Ask for each of these in writing while you’re still a customer, ideally during renewal talks, and confirm format and cost.

ItemWhy you need it
Output samples for every template and channelThe baseline you test every rebuilt template against
Shared components, images, fonts and stylesSpeeds up the rebuild
Business rules and data feed schemasRules hidden in templates are the easiest thing to lose
Approval and change historyProof of who approved regulated wording
Archived documents with retention metadataRetention duties outlast the contract
Read access for a set period after the termYou’ll need both systems live during parallel running

Our SmartCOMM contract renewal checklist turns these into contract terms.

The six-step plan

Each step hands a deliverable to the next. Skipping a gate is the most common way migrations stall.

Who does what, step by step

Each filled box is what a role delivers in that step. The dashed box is the gate before the next step.

Deliverable owned by this role in this step Gate: what must exist before the next step starts

A planning model for regulated CCM migrations. No durations: they depend on template count and are best measured in a pilot.

What each step involves

  1. Inventory and export. List every active template with its channel, data source, volume and owner. Pull real output for each one; that’s your test baseline.
  2. Rationalize. Merge near-duplicates and retire what’s unused, so you convert less. See template rationalization.
  3. Map data and integrations. Document every feed and every system that calls SmartCOMM, such as Guidewire, Duck Creek, Salesforce or Pega. Confirm the new platform has a connector or API for each.
  4. Rebuild or convert. Build shared parts like address blocks, logos and disclosures first. Then convert high-volume, high-risk templates.
  5. Run in parallel. Compare output from both platforms on many data scenarios, not one record. Check accessibility tagging at the same time.
  6. Sign off and cut over. Compliance approves rebuilt documents, then you move one line of business or channel at a time.

Regulated documents need extra checks

Changing the wording or layout of a regulated document can need more than internal approval.

  • Insurance forms: Wisconsin requires most policy forms to be filed 30 days before use. Check every state you write in.
  • Medicare Advantage: plans must use CMS standardized materials without alteration, apart from permitted changes like variable fields, plan name or logo. Make sure the new platform reproduces them exactly.

Keep the old approval trail next to the new one, so you can show who approved what and when.

Vendor migration tools

Each vendor’s tool converts into its own platform, and none publicly names SmartCOMM as a supported source. Prove any tool on your own templates.

  • Messagepoint Rationalizer: Messagepoint says it uses AI to ingest, optimize and migrate legacy content, including rules and layouts for supported systems.
  • Quadient InspireXpress: an Aspire analyst quoted by Quadient in March 2025 said Quadient moves customers off legacy systems with it.

IDC’s Amy Machado said in October 2026 that “AI-assisted template reconstruction is cutting migration timelines.” Ask every finalist to convert three of your hardest SmartCOMM templates and show what was automated. More options are on our CCM migration tools page.

Risks to plan for early

  • Lost access: agree exports before the term ends, or rules and archives get hard and costly to retrieve.
  • The archive: if you use SmartHUB, launched in June 2025, plan how old documents and retention rules move. See SmartHUB alternatives.
  • Hidden rules: logic buried in templates is easy to miss, so test many data scenarios.
  • Paying twice: running two platforms means two bills, so size your remaining SmartCOMM term to the plan.

Time it against your renewal

Work back from the notice date in your contract, not the renewal date. Miss it and you renew by default.

If you won’t finish before the term ends, negotiate a short extension sized to your remaining volume, not a full renewal. Compare finalists in SmartCOMM vs Messagepoint and SmartCOMM vs Quadient Inspire, check the CCM benchmark, send everyone the same CCM RFP template, and see the whole market in the CCM software guide.

Frequently asked questions

How long does it take to migrate off SmartCOMM?

It depends on template count, integrations and how much you consolidate first. Time a pilot conversion of a sample of your templates, scale it up, then add time for parallel running and any refilings.

Can I keep using SmartCOMM for some documents during the migration?

Yes. Moving one line of business at a time keeps regulated output flowing. You'll pay for two platforms meanwhile, so size your remaining SmartCOMM term to the plan instead of signing a full renewal.

Which vendors offer tools to migrate off SmartCOMM?

Messagepoint (Rationalizer) and Quadient (InspireXpress) both offer legacy migration tooling, but neither publicly names SmartCOMM as a source. Ask each to convert three of your real SmartCOMM templates during evaluation.

What happens to documents archived in SmartHUB?

Plan for them separately. Ask Smart Communications in writing how you can export them with retention metadata, at what cost, and how long you keep read access. Your retention duties don't end with the contract.
